The Project Coordinator supports project teams by managing communications, documentation, schedules, and workflows to ensure projects are delivered efficiently and on time.

SMK Services, Inc. (SMK)is a Construction Management and Engineering services consultancy based in Belmont, Massachusetts. Our clients include public agencies, professional engineering firms, general contractors, and subcontractors. We provide services in Project Management, Construction Build Strategy, Scheduling, Engineering Support, Construction Estimating, Claims Analysis and Field Services.

With a growing customer base and an expanding list of services, SMK is currently seeking a Project Coordinator to join our team in the Greater Boston Area.

The Role

As Project Coordinator (PC) you will play a crucial role in the project’s success by ensuring smooth execution of the project. The PC will support the Design group’s project managers, discipline leads and team members with administrative tasks to ensure deadlines are tracked and completed on schedule. You will be working closely with managers to determine what they need and how you can contribute to running an efficient project.  

This position is for you if you are a leader, collaborate well with others, and have great presentation, communication, and organizational skills. Applicants must have a command of clear and concise communication to interact professionally with co-workers while managing people and time.

Key Responsibilities

In this role you will be responsible for carrying out a variety of tasks. Some core responsibilities include, but may not be limited to:

  • Updating and organizing project files, such as meeting minutes, progress reports, and design documents.
  • Manage submittals and RFIs between the design team and the construction team.
  • Maintaining databases, managing FTP site and process workflows to ensure resources and materials are available and allocated appropriately.
  • Collaborating with and supporting the project team to maximize productivity and meet milestones.
  • Taking and distributingmeeting minutes, following up on the progress of team action items and tasks,and communicating project status and updates to stakeholders.
  • Writing and distributing project-related messages, such as letters, memos, electronic mail, and status updates.
  • Assisting in the preparation of monthly reports and project presentations.
  • Facilitating communication among team members and liaising with the project manager.
  • Providing administrative support to project managers and team members when necessary.
  • Fostering effective collaboration among team members.
  • Seeking opportunities for process improvements and making recommendations.

Qualifications

  • A bachelor’s degree in a relevant field with a minimum of three years of relevant professional experience or an associate’s degree in a relevant field with a minimum of seven years of relevant professional experience.
  • Valid driver’s license and access to a personal vehicle.
  • Authorization to work in the United States.
  • Ability to pass background checks as required.
  • Ability to pass a drug and alcohol test.

Additional Employment Information

  • Full time salaried position.
  • Starting salary of $95k/yr to $105k/yr dependent on experience.
  • Paid Time Off (PTO) and holiday pay.
  • Retirement plan contribution.

  • SMK follows a hybrid work structure where employees can work remotely and from the office on set days. The ability to work remotely is based on several     factors, including workload demands for tasks that require a high degree of collaboration, in person client meetings, employee training, and employee experience level.
  • Work location is primarily office-based, with the opportunity to attend occasional site visits within New England.
